1. Definitions

For the purposes of these Terms of Service, the following definitions apply:

"We / Us / Our"VerifyCertificate.online, its owners, operators, employees, and authorized representatives.
"Institute"Any private educational institution, training centre, coaching institute, skill development centre, or certification body that registers on the Platform to publish certificate data.
"Verifier"Any person, organization, employer, or institution that uses the Platform to verify a certificate.
"Certificate Holder"The individual named on a certificate that has been published on the Platform by a registered Institute.
"Certificate Data"All information submitted by an Institute relating to a certificate, including but not limited to recipient name, course, certificate number, dates, and grades.
"User"Any person or entity accessing or using the Platform in any capacity, including Institutes, Verifiers, and Certificate Holders.
"Account"A registered Institute account on the Platform with login credentials.
"Subscription"A paid plan that grants an Institute access to Platform features for a defined period.
"Content"All text, data, images, logos, documents, and other materials uploaded to or generated by the Platform.
2. Acceptance of Terms

By accessing, browsing, registering on, or using VerifyCertificate.online in any manner, you confirm that you have read, understood, and agree to be legally bound by these Terms of Service ("Terms"), our Privacy Policy, and any other policies or guidelines published on the Platform.

These Terms constitute a legally binding agreement between you and VerifyCertificate.online. If you are agreeing to these Terms on behalf of an organization (such as an Institute), you represent and warrant that you have the authority to bind that organization to these Terms.

If you do not agree to these Terms, you must immediately stop using the Platform and, if applicable, deactivate your account. Continued use of the Platform after any update to these Terms constitutes acceptance of the revised Terms.

These Terms are available at all times on this page in accordance with applicable international digital commerce standards and intermediary guidelines.

3. Nature of the Platform — Private Service Disclaimer

VerifyCertificate.online is an independent, privately owned and operated digital platform. The following disclaimers are fundamental to the use of this Platform and must be understood by all Users:

3.1 Not a Government Authority

We are not a government body, statutory authority, regulatory agency, university, board of education, or any institution established under any law of any country. We have no governmental powers, no statutory recognition, and no authority to issue, authenticate, or legally certify any credential, qualification, or certificate on behalf of any government or regulatory body.

3.2 Not an Official Authentication Service

Verification results generated by this Platform are not equivalent to official authentication by any government authority, national academic repository, or any statutory body. Results are based solely on data voluntarily submitted by registered private Institutes and represent the Institute's own records only.

3.3 Institutes are Independent Entities

Registered Institutes on this Platform are independent private entities. Their registration on VerifyCertificate.online does not imply government recognition, accreditation, affiliation, or any form of official approval of the Institute or its courses.

3.4 No Legal Evidentiary Value

A "Verified" result on this Platform does not constitute legal evidence of the authenticity of any certificate for purposes of employment, immigration, visa applications, university admissions, court proceedings, or any regulatory or statutory compliance process. Users relying on verification results for such purposes do so entirely at their own risk.

Employers, academic institutions, government agencies, or any party requiring legally valid credential authentication must obtain verification directly from the issuing Institute or through officially recognized authentication services in their respective countries.
3.5 Purpose of the Platform

The Platform exists solely as a convenient digital reference tool to help Institutes maintain an online record of issued certificates and to allow interested parties to cross-check those records quickly. It is a supplementary convenience service, not a replacement for official verification.

4. Eligibility and Account Registration
4.1 Eligibility

To register as an Institute on this Platform, you must:

  • Be a legally constituted entity (registered trust, society, company, partnership, proprietorship, or individual operating a lawful educational or training business).
  • Be at least 18 years of age if registering as an individual.
  • Have the legal authority to issue certificates in the name of your Institute.
  • Not be barred or suspended from using the Platform or similar services.
  • Not be operating in violation of any applicable law.
Government schools, colleges, universities, and statutory boards may register as Institutes. However, VerifyCertificate.online does not claim to represent or act on behalf of any such institution.
4.2 Registration Information

You agree to provide accurate, current, and complete information during registration and to update such information promptly if it changes. Providing false, misleading, or incomplete registration information is a material breach of these Terms and may result in immediate account termination.

4.3 Account Security

You are solely responsible for maintaining the confidentiality of your account credentials. You must not share your login details with unauthorized persons. You agree to notify us immediately at support@verifycertificate.online if you suspect any unauthorized access to your account. We are not liable for any loss or damage arising from unauthorized use of your account due to your failure to safeguard credentials.

4.4 One Account Per Institute

Each Institute is permitted one active account unless otherwise agreed in writing. Creating multiple accounts to circumvent restrictions, limits, or suspensions is strictly prohibited.

5. Institute Obligations and Responsibilities

By registering as an Institute, you accept full and sole responsibility for the following:

5.1 Accuracy of Certificate Data

You are solely responsible for the accuracy, completeness, currency, and legality of all certificate data you upload. VerifyCertificate.online does not verify, audit, validate, or independently confirm any data submitted by Institutes. Any error, omission, or misrepresentation in certificate data is entirely the Institute's responsibility.

5.2 Lawful Issuance

You warrant that all certificates published on the Platform have been lawfully issued by your Institute, that recipients have legitimately completed the relevant course or program, and that you hold the legal right to issue such certificates.

5.3 Data Protection Compliance

As the Data Controller for certificate and student data you upload, you are solely responsible for ensuring compliance with all applicable data protection and privacy laws in your jurisdiction, including but not limited to GDPR (where applicable), and any other relevant national or regional data protection legislation. This includes obtaining all necessary consents from students and certificate holders before submitting their data.

5.4 No Fraudulent Certificates

You must not publish, upload, or attempt to verify any certificate that is false, fabricated, forged, backdated, or issued in respect of a course or program that was not genuinely completed. Publishing fraudulent certificates is a criminal offence and will result in immediate account termination, reporting to relevant authorities, and potential civil and criminal liability.

5.5 Timely Updates and Corrections

You are responsible for promptly updating or correcting any certificate data that becomes inaccurate, including revoking or marking as invalid any certificate that has been cancelled, disputed, or found to be erroneous.

5.6 Authorized Users

If you grant access to your account to staff or agents, you are responsible for all actions taken by such persons. You must revoke access promptly when staff leave your organization or no longer require access.

6. Certificate Data Standards

All certificate data submitted to the Platform must meet the following standards:

  • Must be in English or a language supported by the Platform's interface.
  • Must contain accurate recipient name as it appears on the original certificate.
  • Must include a unique, non-reused certificate number or ID.
  • Must accurately reflect the course name, date of issue, and any expiry date.
  • Must not contain offensive, defamatory, or inappropriate content.
  • Must not include national identity numbers, passport numbers, bank account details, or any other highly sensitive government-issued identifiers.
  • Must not include health, biometric, caste, religion, or political data.
  • Images and logos uploaded must be owned by the Institute or used with proper authorization.
We reserve the right to remove any certificate data that violates these standards without prior notice. Repeated violations will result in account suspension or permanent termination.
7. Verifier Use and Limitations

Any person may use the Platform to verify a certificate without creating an account, subject to the following conditions:

7.1 Permitted Use
  • Verifiers may search for certificates using a certificate number or unique ID for legitimate verification purposes.
  • Verifiers may use QR codes printed on certificates to access verification results.
  • Verification results may be used as a supplementary reference only — not as sole or legally conclusive proof.
7.2 Prohibited Verifier Conduct
  • Automated, bulk, or programmatic verification queries without prior written authorization from us.
  • Scraping, crawling, or harvesting certificate data from the Platform.
  • Using verification results to build databases, directories, or datasets of individuals.
  • Sharing, publishing, or commercializing individual verification results without the consent of the Certificate Holder.
  • Attempting to access certificate records without a valid certificate number.
7.3 Rate Limiting

The Platform enforces rate limiting on verification queries. Excessive queries from a single IP address or device may result in temporary blocking. If you have a legitimate need for bulk verification, contact us at support@verifycertificate.online to discuss API access terms.

8. Verification Results — Disclaimer of Accuracy

Verification results on this Platform are generated by direct database lookup of data submitted by registered Institutes. The following limitations apply to all verification results:

A "Verified" result on this Platform is not a guarantee of the authenticity of the underlying certificate. VerifyCertificate.online makes no representation or warranty regarding the truthfulness of data submitted by Institutes.
9. Prohibited Activities

The following activities are strictly prohibited on the Platform. Violation may result in immediate account suspension, termination, reporting to relevant authorities, and civil or criminal liability:

9.1 Fraud and Misrepresentation
  • Uploading, publishing, or verifying false, fabricated, forged, or backdated certificates.
  • Impersonating any person, Institute, government body, or other entity.
  • Misrepresenting your identity, qualifications, or authority to use the Platform.
  • Using the Platform to deceive employers, academic institutions, or any third party.
9.2 Technical Abuse
  • Attempting to hack, penetrate, or circumvent any security feature of the Platform.
  • Introducing malware, viruses, ransomware, or any harmful code.
  • Conducting denial-of-service (DoS) or distributed denial-of-service (DDoS) attacks.
  • Reverse engineering, decompiling, or disassembling any part of the Platform.
  • Automated scraping, data mining, or bulk data extraction without authorization.
  • Bypassing rate limits, CAPTCHA, or other security controls.
9.3 Unlawful Use
  • Using the Platform for any purpose that violates applicable local, national, or international law.
  • Using the Platform to harass, defame, or harm any individual.
  • Uploading content that infringes any intellectual property right.
  • Money laundering or any financial crime facilitated through the Platform.
9.4 Misuse of Verification Results
  • Presenting a "Verified" result as government authentication or official statutory proof.
  • Using verification results in legal proceedings, visa applications, or regulatory submissions as authoritative evidence.
  • Commercially exploiting individual verification results without consent.
10. Intellectual Property Rights
10.1 Our Intellectual Property

All content on the Platform that is not submitted by Institutes — including but not limited to the Platform's design, layout, source code, user interface, trademarks, logos, service marks, graphics, and text — is the exclusive intellectual property of VerifyCertificate.online and is protected under applicable international intellectual property law. Unauthorized reproduction, copying, distribution, modification, or commercial use of any Platform content is strictly prohibited and may result in legal action.

10.2 Institute Content

By uploading certificate data, logos, or other content to the Platform, you grant VerifyCertificate.online a non-exclusive, royalty-free, worldwide licence to store, display, and process such content solely for the purpose of operating the verification service. You retain full ownership of all Institute content you upload.

You warrant that you own or have the necessary rights and licences to all content you upload, and that such content does not infringe any third-party intellectual property rights.

10.3 Feedback

Any feedback, suggestions, or ideas you provide to us regarding the Platform may be used by us freely without any obligation to you, including for product improvement purposes.

11. Subscription, Fees and Payments
11.1 Subscription Plans

Access to Institute features on the Platform is subject to a paid subscription. Current subscription plans, pricing, and included features are displayed on our pricing page and are subject to change with reasonable notice.

11.2 Payment Terms
  • All fees are quoted in the currency displayed at the time of purchase.
  • Payments are processed via secure third-party payment gateways. We do not store payment card details.
  • Subscriptions are billed in advance for the selected period (monthly or annual).
  • Applicable taxes are charged as required under the laws of the relevant jurisdiction.
  • Payment must be received before access to paid features is granted or renewed.
11.3 Late Payment

If a subscription payment fails or is not received by the due date, access to Institute account features may be suspended. Certificate verification pages for previously published certificates may remain publicly accessible for a grace period of 7 days after expiry, after which they may be deactivated until payment is received.

11.4 Price Changes

We reserve the right to change subscription pricing with at least 30 days' advance notice to registered Institutes by email. Continued use after the effective date of any price change constitutes acceptance of the new pricing.

12. Refund and Cancellation Policy
12.1 Cancellation

Institutes may cancel their subscription at any time through the account settings or by contacting support. Cancellation takes effect at the end of the current billing period. You will continue to have access to paid features until the end of the period for which you have paid.

12.2 Refunds

Subscription fees are generally non-refundable. Exceptions may be considered in the following circumstances:

  • A technical error on our part prevents access to the Platform for more than 72 continuous hours during a paid subscription period.
  • Duplicate payment due to a payment gateway error.
  • A refund request is submitted within 7 days of initial purchase for first-time subscribers who have not uploaded any certificate data.

Refund requests must be submitted to billing@verifycertificate.online with proof of payment. Approved refunds will be processed within 7–14 working days to the original payment method.

12.3 Termination by Us

If we terminate your account for a material breach of these Terms, no refund will be issued for any unused subscription period.

Consumers may have additional rights under applicable consumer protection laws in their country of residence. Nothing in this policy limits any rights you may have under applicable mandatory consumer protection legislation.
13. Suspension and Termination
13.1 Termination by Institute

You may close your account at any time by contacting us. Upon closure, your certificate data will be retained for the period described in our Privacy Policy and then permanently deleted, unless we are required by law to retain it longer.

13.2 Suspension or Termination by Us

We reserve the right to suspend or terminate any account, with or without notice, in the following circumstances:

  • Breach of any provision of these Terms.
  • Non-payment of subscription fees.
  • Uploading fraudulent, false, or unlawful certificate data.
  • Conduct that we reasonably believe poses a legal, reputational, or security risk to the Platform or its users.
  • Receipt of a valid court order, government direction, or law enforcement request.
  • Prolonged inactivity (account inactive for more than 24 consecutive months).
13.3 Effect of Termination

Upon termination: your access to the account will be revoked; certificate verification pages associated with your account will be deactivated; any data export should be completed before termination as we cannot guarantee data availability post-termination.

13.4 Survival

Sections relating to intellectual property, limitation of liability, indemnification, dispute resolution, and governing law shall survive termination of these Terms and your use of the Platform.

14. Disclaimer of Warranties

To the maximum extent permitted by applicable law, VerifyCertificate.online provides the Platform on an "as is" and "as available" basis, without any warranty of any kind, express or implied, including but not limited to:

  • Warranties of merchantability, fitness for a particular purpose, or non-infringement.
  • Any warranty that the Platform will be uninterrupted, error-free, secure, or free of viruses or harmful components.
  • Any warranty regarding the accuracy, completeness, reliability, or timeliness of any certificate data or verification result.
  • Any warranty that the Platform meets your specific requirements or expectations.
  • Any warranty that defects will be corrected within any particular timeframe.
Nothing in this disclaimer excludes or limits any implied warranty or right that cannot be excluded or limited under applicable mandatory consumer protection law in your jurisdiction.
15. Limitation of Liability

To the fullest extent permitted by applicable law, VerifyCertificate.online, its owners, directors, employees, agents, and service providers shall not be liable for:

  • Any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the Platform.
  • Any loss of profits, revenue, data, business opportunity, or goodwill.
  • Any damages arising from errors, inaccuracies, or omissions in certificate data submitted by Institutes.
  • Any reliance placed on verification results for employment, academic, legal, or immigration decisions.
  • Any unauthorized access to or alteration of your data resulting from your failure to maintain account security.
  • Any loss arising from third-party conduct, including fraudulent certificates submitted by Institutes.
  • Any service interruption, downtime, or data loss beyond our reasonable control.

Where liability cannot be fully excluded under applicable law, our total aggregate liability to you for any claim arising out of or related to these Terms or your use of the Platform shall not exceed the total subscription fees paid by you in the three (3) months immediately preceding the event giving rise to the claim, or USD 10, whichever is greater.

16. Indemnification

You agree to indemnify, defend, and hold harmless VerifyCertificate.online, its owners, officers, employees, agents, and licensors from and against any and all claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or relating to:

  • Your use or misuse of the Platform.
  • Any certificate data you upload, including any claim that such data is false, inaccurate, or infringes a third party's rights.
  • Your violation of these Terms or any applicable law or regulation.
  • Any dispute between you and a Certificate Holder, Verifier, or any other third party.
  • Your failure to obtain required consents for data submitted to the Platform.
  • Any claim by a government body or regulatory authority arising from your use of the Platform.

We reserve the right to assume exclusive control of any matter subject to indemnification by you, at your expense. You agree to cooperate fully with our defense of such claims.

17. Fraud, Misuse and Reporting
17.1 Reporting Fraudulent Certificates

If you have reason to believe that a certificate published on this Platform is fraudulent, forged, or misleading, you must report it immediately to:

  • Include: the certificate number, the name of the Institute, a description of the suspected fraud, and any supporting evidence.
17.2 Our Response to Fraud Reports

We will acknowledge all fraud reports within 48 hours. We will investigate the report and, where fraud is substantiated, take appropriate action including suspension of the relevant Institute account, removal of the fraudulent certificate, and reporting to relevant authorities as required.

17.3 Legal Liability of Institutes

Publishing a fraudulent, forged, or backdated certificate may constitute a criminal offence under applicable laws in your jurisdiction, including laws relating to forgery, fraud, and misrepresentation. We will cooperate fully with law enforcement investigations globally.

17.4 False Fraud Reports

Submitting a knowingly false fraud report is a misuse of the Platform and may expose you to legal liability. We treat all reports seriously and reserve the right to take action against malicious reporters.

18. Dispute Resolution and Escalation
18.1 Informal Resolution

Before initiating any formal legal proceedings, you agree to first attempt to resolve any dispute informally by contacting us at legal@verifycertificate.online with a written description of the dispute and your proposed resolution. We will make reasonable efforts to resolve the dispute within 30 days of receiving your notice.

18.2 Grievance Redressal

Users with unresolved complaints may escalate to our designated Grievance Officer:

18.3 Consumer Disputes

Consumers who are not satisfied with our grievance resolution may escalate their complaint through appropriate consumer protection channels available in their country of residence.

18.4 Arbitration

For disputes between Institutes and VerifyCertificate.online involving amounts exceeding USD 500, both parties agree to attempt resolution through binding arbitration under internationally recognized arbitration rules before initiating court proceedings. The seat of arbitration shall be mutually agreed upon by both parties. The language of arbitration shall be English.

18.5 Class Action Waiver

To the extent permitted by applicable law, you waive any right to bring or participate in a class action, class arbitration, or representative proceeding against VerifyCertificate.online.

19. Governing Law and Jurisdiction

These Terms of Service shall be governed by and construed in accordance with general principles of international commercial law, without regard to any specific national conflict of law principles.

Any disputes not resolved through informal resolution or arbitration as described in Section 18 shall be subject to binding arbitration conducted in English under internationally recognized arbitration rules. The seat and venue of arbitration shall be mutually agreed upon in writing by both parties at the time the dispute arises.

Nothing in these Terms limits our right to seek injunctive or other equitable relief in any competent jurisdiction to prevent irreparable harm. If you are accessing the Platform from any country, you are solely responsible for compliance with your local laws to the extent they are applicable.

VerifyCertificate.online is an internationally operated digital platform. Users from all countries access and use the Platform subject to these globally applicable Terms.
20. Force Majeure

VerifyCertificate.online shall not be liable for any failure or delay in performance of its obligations under these Terms arising from causes beyond its reasonable control, including but not limited to:

  • Acts of God, natural disasters, floods, earthquakes, or extreme weather events.
  • Government actions, sanctions, embargoes, or regulatory directives.
  • War, terrorism, civil unrest, or national emergencies.
  • Internet or telecommunications infrastructure failures not within our control.
  • Large-scale cyberattacks, DDoS attacks, or security incidents despite reasonable precautions.
  • Pandemic, epidemic, or public health emergencies.
  • Power outages or data centre failures at third-party hosting providers.

In such events, we will notify affected users as soon as reasonably practicable and will make reasonable efforts to restore services at the earliest opportunity.

21. Severability

If any provision of these Terms is found by a court or arbitrator of competent jurisdiction to be invalid, unlawful, void, or unenforceable under applicable law, such provision shall be deemed modified to the minimum extent necessary to make it enforceable, or if modification is not possible, shall be severed from these Terms.

The invalidity or unenforceability of any provision shall not affect the validity and enforceability of the remaining provisions, which shall continue in full force and effect.

22. Entire Agreement

These Terms of Service, together with our Privacy Policy and any other policies or guidelines published on the Platform, constitute the entire agreement between you and VerifyCertificate.online with respect to your use of the Platform and supersede all prior agreements, representations, and understandings, whether written or oral, relating to the same subject matter.

No failure or delay by us in exercising any right under these Terms shall operate as a waiver of that right. No waiver of any breach shall be deemed a waiver of any subsequent breach of the same or any other provision.

23. Changes to These Terms

We reserve the right to modify these Terms at any time. When we make material changes, we will:

  • Update the "Last Updated" date at the top of this page.
  • Display a prominent notice on the Platform for at least 14 days.
  • Notify registered Institute accounts by email where changes materially affect their rights or obligations.

Your continued use of the Platform after the effective date of any revised Terms constitutes your binding acceptance of the updated Terms. If you do not agree to the revised Terms, you must stop using the Platform and may close your account. Previous versions of these Terms are archived and available on request.

We recommend bookmarking this page and checking it periodically, particularly before renewing your subscription.

All legal notices, queries, and communications regarding these Terms must be sent in writing to the following contacts. We aim to respond to all legal enquiries within 2 business days.
